Signing-On Fees, Payment Plans & Refunds
1. Annual Membership Year
Stone Cross Royals’ (“SCR” or “the Club”) annual membership year runs from 1 May to 30 April.
2. Payment Plans
Due to the significant financial commitments involved in securing facilities, league affiliation, insurance, equipment and other costs required to operate our teams throughout the season, the Club operates a structured payment-plan system rather than a standard 12-month payment plan.
This system enables the Club to plan its finances effectively and forecast facility and operational costs for the forthcoming season.
3. Refund Policy
SCR recognises that circumstances can change during a season. However, the Club incurs substantial costs in advance of and throughout the season, many of which are non-refundable.
As a result, refunds or pro-rata refunds will only normally be considered in circumstances where the Club is unable to provide the football provision agreed for the relevant season, or where the circumstances specifically outlined below apply.
4. Circumstances Where a Refund May Be Considered
A refund or pro-rata refund may be considered in the following circumstances:

Team closure: Where a team is required to fold because a coach leaves and the Club is unable to appoint a suitable replacement, meaning SCR can no longer provide a team for the player.

Season-ending injury: Where an individual player sustains an injury which prevents them from participating for the remainder of the season.
In the event of a season-ending injury, any refund will be calculated on a pro-rata basis, taking into account the period of the season for which the player has already received the Club’s provision and/or participated.
The refund calculation will take into consideration the months already used, together with costs already incurred by the Club in relation to the player’s registration, affiliation, insurance, league entry, facilities, kit, equipment and other relevant operational costs
.
Any refund awarded in these circumstances will also be subject to a £50 administration and costs charge.
The Club may request reasonable supporting evidence, such as confirmation of the injury, before considering a refund request.
5. Circumstances Where Refunds Will Not Normally Be Issued
Refunds or pro-rata refunds will not normally be provided in circumstances where the decision to cease participation is made by the player, parent/guardian or another party, including:

The player choosing to leave SCR and join another football club without another qualifying reason under these Terms & Conditions.

The player or parent/guardian choosing to withdraw from the Club for personal reasons.

The player or parent/guardian choosing to move to another club.

The player being suspended or otherwise prevented from participating because of disciplinary action by the Football Association (FA), a league or SCR.

The parent/guardian being suspended or otherwise subject to disciplinary action by the FA, a league or SCR, where this results in the player being unable to participate.

An entire team or group of players choosing to leave SCR and join another football club.

Any other circumstance where SCR continues to provide the team, coaching, facilities and services associated with the player’s registration.
6. Administration and Costs Associated with Refunds
Where SCR agrees to issue a refund or pro-rata refund, a £50 administration and costs charge will normally be deducted from the amount refunded.
This charge reflects costs already incurred by the Club, including, but not limited to:

FA affiliation and registration costs.

League affiliation and entry fees.
-
Insurance costs.
-
Facility bookings and deposits.
-
Kit and equipment costs.
-
Other operational costs incurred in providing football throughout the season.
The Club will take into consideration the costs already incurred when calculating any refund.
7. Refund Requests
All refund requests should be submitted directly to the Club and will be reviewed by the Club Committee.
A refund is not guaranteed simply because a player is unable or chooses not to continue playing. The Club will consider the circumstances of each request alongside the period of the season already used, the costs incurred and the provisions of these Terms & Conditions.
Where a refund is agreed, the Club will confirm the calculation, amount and any applicable deductions before the refund is processed.

Stone Cross Royals reserves the right to review and amend these Terms & Conditions where necessary, subject to applicable FA, league and other governing-body requirements.
